Part 1 - Privacy Policy

Flowcheckers values privacy and is committed to protecting personal data. This Privacy Policy explains how personal data is collected, used, stored, and protected when visitors use the website, request a quote, submit an intake form, or otherwise interact with the services offered by Flowcheckers. Personal data is processed in accordance with the General Data Protection Regulation (GDPR) and applicable Dutch privacy laws.

Flowcheckers is the data controller responsible for the processing of personal data as described in this Privacy Policy. Flowcheckers operates as a partnership registered in the Netherlands.

2. Personal data collected

When visitors use the website, submit a contact request, complete an intake form, or proceed to a project, the following personal data may be collected:

  • First name and last name

  • Email address

  • Phone number

  • Company name and role

  • Business address (for invoicing and contract purposes)

  • Messages, project details, and information provided in the intake form

  • Sample data or examples voluntarily shared to clarify project scope

Personal data is only collected when it is voluntarily provided.

3. Purpose of data processing

Personal data is processed for the following purposes:

  • Responding to contact requests and quote inquiries

  • Scoping and delivering automation projects

  • Communicating about services during and after a project

  • Sending invoices and fulfilling administrative obligations

  • Improving the website and user experience

  • Complying with legal and tax obligations

4. Legal basis for processing

Personal data is processed based on one or more of the following legal grounds:

  • Consent (for example, when subscribing to communication)

  • Performance of a contract or pre-contractual steps, including the scoping, delivery, and support of automation projects

  • Legitimate interest, such as improving services and website functionality

  • Compliance with legal obligations, including tax and administrative requirements

5. Service-specific data processing


Intake and scoping

During the intake and scoping process, clients share information about their business processes, tools, and goals through an intake form and a scoping call. This information is used solely to prepare a project proposal and is stored securely in line with the security measures described below.


Project delivery

Automations are built and tested on Flowcheckers’ own n8n instance with sample data, then installed on the client’s own n8n instance using credentials provided by the client. During installation and testing, Flowcheckers may briefly access the client’s tools and environment to configure and verify the automation. No client data is retained, copied, or stored beyond what is strictly necessary for delivery, and access ends once the project is handed over.


After handover

Once a project is delivered, the automation runs on the client's own n8n instance using the client's own credentials and infrastructure. As part of the included monthly maintenance and support, Flowcheckers maintains standing collaborator access to the client's n8n instance to perform maintenance, resolve issues, run weekly health checks, and monitor for errors. This access is limited to what is necessary to maintain the automation. The client retains full ownership of their instance and can revoke access at any time. Flowcheckers does not access, copy, or store any business data processed by the automation itself.


Support and maintenance

During the monthly maintenance and support, Flowcheckers communicates with the client primarily by email. Where additional contact is needed to resolve an issue, this takes place by email or video call. Any information shared or observed during such contact is used solely to resolve the issue at hand.

6. AI components and data sent to third-party AI providers

Some automations include AI components. Where this is the case, the workflow routes data from the client’s connected systems to third-party AI providers such as OpenAI or Anthropic. This data may include personal data contained in the client’s connected systems, depending on the configuration agreed in the project scope.

These AI providers may process data outside the European Economic Area (EEA). The relationship between the client and any AI provider is between those parties directly, and the providers’ own privacy terms apply to that processing. As the client is the data controller for the data flowing through their own n8n instance, the client is responsible for ensuring it has a lawful basis under the GDPR to route such data to these providers, including any applicable obligations of confidentiality and contract.

7. Analytics and cookies

The website is built using Wix and may use Google Analytics to gain insight into how visitors interact with the site. Google Analytics may collect data such as:

  • IP address (anonymized where possible)

  • Device and browser information

  • Pages visited and interaction data

This information is used solely to analyze website usage and improve performance. Further details about cookies are set out in Part 2 of this document.

8. Email communication

When visitors subscribe to communication, or when a project is underway, email may be used to send relevant updates, project communications, and invoices. Any third-party email tool used will be GDPR-compliant. Marketing emails, where sent, include an option to unsubscribe at any time.

9. Data storage and CRM

Personal data may be stored in a customer relationship management (CRM) tool, in invoicing software, and in standard business communication tools (email, calendar, file storage). Access to personal data is restricted to Flowcheckers, and appropriate security measures are in place. Where third-party tools are used, they are selected for GDPR compliance.

 

10. Data sharing

Personal data is not sold. Data may be shared with third parties only when:

  • Necessary to deliver the agreed services (for example, AI providers connected by the automation as described in Section 6)

  • Required for analytics, email communication, CRM, or invoicing functionality

  • Required by law

All third parties are required to process personal data securely and in compliance with the GDPR.

 

11. Data retention

Personal data is retained only for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required by law (for example, invoices must be kept for seven years under Dutch tax law).

Intake form submissions and project communications are kept for the duration of the client relationship and for a reasonable period afterwards in case of follow-up. When personal data is no longer needed, it is securely deleted or anonymized.

 

12. Data subject rights

Under the GDPR, data subjects have the right to:

  • Access personal data

  • Rectify inaccurate or incomplete data

  • Request erasure of personal data

  • Restrict or object to processing

  • Withdraw consent at any time

  • Request data portability

13. Data security

Appropriate technical and organizational measures are taken to protect personal data against loss, misuse, unauthorized access, or disclosure. These include access controls, secure storage, and the use of GDPR-compliant tools.
